Gmail Expert ("we", "our", or "us") operates the Gmail Expert web application available at https://gmailexpert.com. This Privacy Policy explains how we collect, use, and protect your information when you use our service. By using Gmail Expert, you agree to the practices described in this policy.
2. Information We Collect
We collect the minimum information necessary to provide the service:

3. How We Use Google and Microsoft User Data
Gmail Expert's use of information received from Google APIs and Microsoft Graph API will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Specifically, we use your Gmail and Outlook data only to:
- Fetch and display your emails within the Gmail Expert interface
- Generate AI-powered summaries and urgency classifications for your emails
- Create a daily digest of your most important messages
We do not use your email data to:
- Train AI or machine learning models
- Serve advertisements
- Sell, share, or transfer your data to third parties
- Analyse your emails for any purpose other than providing the service to you
4. Data Storage and Security
Email summaries and metadata are cached in our database to provide fast access within the app. Raw email bodies are stored temporarily to generate summaries and are not retained beyond what is necessary for the service to function. OAuth tokens are stored in encrypted form.
We use industry-standard security measures including HTTPS encryption in transit, encrypted database storage, and access controls to protect your data. No payment card details are ever stored on our servers — all payments are processed by Stripe.
5. Data Sharing
We do not sell your personal data. We share data only with the following trusted service providers, and only to the extent necessary to operate the service:
- AI inference provider — Email content is sent to our AI provider to generate summaries. This data is not retained by the provider for training purposes.
- Stripe — Payment processing. Stripe handles all billing data under their own privacy policy.
- Cloud infrastructure — Our hosting provider stores encrypted data in secure data centres.
6. Your Rights and Controls
You have full control over your data:
- Disconnect Gmail or Outlook at any time from within the app — this immediately revokes our access token and stops all email fetching.
- Delete your account — contact us at [email protected] and we will delete all your data within 30 days.
- Access or export your data — contact us and we will provide a copy of the data we hold about you.
- Revoke Google access — visit myaccount.google.com/permissions to revoke Gmail Expert's access to your Google account at any time.
- Revoke Microsoft access — visit account.microsoft.com/privacy/app-access to revoke Gmail Expert's access to your Microsoft account at any time.
7. Data Retention
We retain your email summaries and account data for as long as your account is active. If you disconnect your email account, cached email data is deleted within 7 days. If you cancel your subscription and do not reconnect within 90 days, all associated email data is permanently deleted. You may request immediate deletion at any time by contacting us.
8. Children's Privacy
Gmail Expert is not directed at children under the age of 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, please contact us and we will delete it promptly.
9. Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will update the effective date at the top of this page. For significant changes, we will notify you by email or by a prominent notice within the app. Continued use of the service after changes constitutes acceptance of the updated policy.
